Digitization of user tools: an essential step for the healthcare and social services sector

The requirements of the 2022 Ségur de la Santé (Health Investment Plan) demand that healthcare and social care facilities, accustomed to paper-based management, revolutionize their organization to transition to digital. This revolution depends directly on new business tools and their successful implementation.

Founded in 1994, Sys 1, a digital services company, has developed its services around digital production tools and IT outsourcing. For the past seven years, the company has expanded its offerings to address the new challenges faced by healthcare and social care facilities.

These facilities were struggling to comply with the regulatory framework required by their funders, particularly regarding the implementation of user management software. “An initial phase was tested, which involved software vendors adding user management tools to existing HR or accounting software.” “Since this method wasn’t working, we needed to create a true business tool,” explains Nicolas Dumon, CEO of Sys 1 since 2015. “We established a partnership with the Laïque le Prado association, an organization we were already working with, and provided them with human and technical resources. Then, we analyzed their needs and met with their teams to create Logus, a user management software that integrates seamlessly into the operations of a healthcare or social care facility. It’s a modular application that we designed to be simple, customizable, and above all, human-centered,” Dumon points out.

Our teams worked on the design phase for two and a half years, and from this emerged a modular core that adapts to the specific needs of Logus’s various client facilities (currently 27). According to the CEO, deployment can take between two and six months, depending on the size of the organization and the communication carried out beforehand with internal teams.

A REAL NEED ON THE GROUND

The Laïque le Prado association, located in the Gironde region of France, focuses its work on child protection, social solidarity, and the medical and social services sector. A partner of Sys 1 in the creation of Logus, it participated in the project’s inception. “We were looking for a tool that could manage case tracking and handle billing issues. Sys 1 provided it. When we welcome someone, we create a file for them in Logus and compile all their information there (interview reports, medication, etc.).

To protect users’ privacy, access rights vary depending on the user’s role. The platform adapts perfectly to the different roles within the teams,” explains Florence Lamarque, Director of the Medical and Social Services Department at the Laïque le Prado association. The latter also emphasizes the tool’s ease of use and Sys 1’s attentive approach, which responds to evolving needs on the ground by developing the application as collaboration progresses. “Thanks to our feedback, a communication log and a user scheduling calendar will be added to the platform’s modular features,” says Florence Lamarque. This way of working, which prioritizes listening and consideration, is therefore highly valued in a professional sector that still relies heavily on paper files and lags behind in terms of digitalization.

FROM PAPER TO DIGITAL

Logus is designed to be practical and user-friendly. These are two essential prerequisites for a successful digital transition for institutions. “We opted for a 100% web-based application so that the software is accessible from both a phone and a computer. Our clients’ IT infrastructure is very often underdeveloped.”

“That’s why we ensure backups, updates, storage, and quality of access to the work environment, to provide a truly effective work setting,” explains Nicolas Dumon. For Diaconat, an association fighting against social exclusion, Logus also presented itself as a turnkey and rapid tool to support the ongoing digitization process. “The deployment is progressing smoothly for us.

It takes time to create new work habits and for all information to be systematically hosted on the platform. One of the initial challenges we faced was the lack of communication tools (email alerts, chat, alerts for file updates, etc.).

This is an obstacle that the teams are already addressing in the next version of the solution,” adds Julie Magne, Director of the Integration Department at Diaconat.

Sys1 presents itself as a responsive company, working towards a seamless and compliant digital transition. “We are currently migrating our application platforms to an HDS-compliant environment and developing the tool in accordance with the new criteria of the Ségur du Numérique de la Santé (French Digital Health Plan), with the goal of being interoperable and compatible with the MSS (French Health Security System) and the INS (French National Health Identifier),” concludes Dominique Barillot, sales representative for the solution.
